Records, files and systems · Virginia
They have a structure problem.
We look at how your records, files, and systems are set up, and we fix what isn't working. So you know where things stand, and what to do next.
Clarity • Consistency • Confidence
The problem
The contract is in somebody's inbox. There are four versions of the same document and nobody's sure which one is current. Someone leaves and takes the only working knowledge of the system with them. Nothing is lost, exactly. But nothing can be found either.
Your business grew faster than the setup you started with, and the setup never caught up. A new app won't fix that. Neither will a weekend of cleanup. What fixes it is a structure where the right thing to do is also the easy thing to do.
How we work
Every engagement moves through the same three steps, in the same order.
First we find out where you actually stand. What exists, where it lives, what's duplicated, what's missing, what's sitting somewhere it shouldn't be. Written down in plain words.
Then we build the structure. Naming, filing, retention, permissions, workflow. Built to hold up when you're busy, and when people leave.
Then we make it stick. Policies written down. Somebody responsible for each one. A schedule for checking it. So the order you paid for is still there in two years.
Who we work with
Independent firms, growing companies, and public sector organizations. The ones with real records obligations and nobody whose whole job it is to handle them. Consultants sitting on client files. Practices carrying compliance requirements. Agencies and school divisions working under retention rules they didn't write. Founders whose business outgrew the folder structure they set up in year one.
You don't need enterprise software. You don't need to hire someone full time. You need somebody to look at what you have, tell you the truth about it, and build the thing once, properly.
Right now
If you've switched on Microsoft Copilot, or you're about to, it can surface anything a person already has permission to open. The salary spreadsheet filed in the wrong folder in 2023. The contract in a link somebody shared with the whole company. Nothing was breached. It just became findable, instantly, by anyone who asks the right question.
Most organizations find this out afterwards. A permissions and sharing review before you switch it on costs a great deal less than explaining it later.
Track record
Before this practice existed, Christy Gilot rebuilt SharePoint Online into the primary knowledge environment for a 3,000-person federal command. Governance standards, permission structures, metadata, a Lessons Learned repository, and Power BI dashboards wired to live data. Twenty-six years of it, across the Department of the Army, the Department of Defense, and the Defense Contract Management Agency.
The same discipline, sized for your organization.
Start here
Ninety minutes. We walk through where your files and records actually are. You leave with a written summary of the three things costing you the most time, and what to do about each one. Whether or not you work with us after.
$250, credited toward any engagement booked within 30 days. And if it doesn't show you something worth acting on, don't pay for it.
